Online review management is the ongoing practice of monitoring, responding to, and generating patient reviews across the platforms where your practice appears. For healthcare, it’s not optional — 77% of patients consult online reviews before choosing a provider, and your star rating on Google, Healthgrades, and Yelp is often the first thing a prospective patient sees about you. Review management is also a local SEO signal: review volume, rating, and recency are confirmed local ranking factors in Google’s algorithm.

The Three Components of Review Management

Tracking new reviews as they appear across Google, Healthgrades, Yelp, Vitals, RateMDs, Zocdoc, and any other platform where your practice has a presence. A thoughtful response to a negative review often matters more to future patients than the negative review itself. HIPAA constraint: never confirm someone is a patient in a public response, even to defend against a criticism.

Systematically requesting reviews from satisfied patients at the right moment — immediately after a positive visit, via automated follow-up SMS or email. The practices with 200+ Google reviews didn’t accumulate them passively. They built a process. Review generation is the only way to improve a low rating and maintain recency signals over time.

The HIPAA Constraint Every Healthcare Practice Must Know

Responding to a patient review in a way that confirms the reviewer is your patient — even inadvertently — constitutes a HIPAA violation. This means you cannot say “I’m sorry your appointment didn’t meet your expectations” because doing so confirms the relationship.
Safe response framework: Thank the reviewer for their feedback without confirming or denying any patient relationship. Provide a general statement about your practice’s commitment to care quality. Invite them to contact your office directly to discuss concerns. This approach satisfies both HIPAA requirements and demonstrates engagement to future patients reading the response.
